Job Summary

An established mental health private practice in Westchase serving the greater Tampa Bay area for the past 17 years. Our practice is made up of four PhD-level clinical psychologists serving adults, seniors, and adolescent patients. We are seeking a motivated, energetic medical receptionist/administrative assistant for our front office to provide administrative support to the practice’s tight-knit, caring professional staff. Duties primarily include answering calls and responding to new patient inquiries, scheduling patient appointments for both established patients as well as coordinating intakes for new patients, communicating with patients as needed, and other various front office tasks. We are looking for someone who is interested in starting in a part-time position with the potential for more hours over time and the opportunity for benefits including health savings account and paid time off.

Required Education (minimum): High school diploma required, associate's or bachelor’s degree preferred (degree in behavioral health field is a bonus).

Experience: Medical Receptionist preferred

Work Location: On-site

Responsibilities:

  • Provide excellent customer service and greet patients with a positive and helpful attitude
  • Answer and direct phone calls, take messages, respond to emails and voicemail messages, and provide general information about services and providers to prospective patients
  • Schedule patient appointments, manage provider schedules, provide administrative support to our psychologists, and ensure the efficient operation of the office
  • Ensure completion of patient intake paperwork (via patient portal or in office)
  • Scan patient records into electronic health record (EHR) system, general filing, and organization of the practice
  • Perform additional receptionist duties such as collecting patient payments, e-filing, e-faxing, photocopying, maintain stock of office supplies, and ensure reception area is tidy and welcoming
  • Assist in verifying patients' benefits and insurance coverage, and assist with insurance authorization requests for psychological services
Required Skills:
  • Energetic, self-motivated, friendly, and enthusiastic with excellent customer service skills
  • Fast learner with strong organizational skills and the ability to multitask
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Docs, Sheets
  • Excellent written and verbal communication skills
  • Meticulous with excellent attention to detail and follow through
  • Critical thinker with excellent problem-solving skills and the ability to work independently
  • Previous experience in a medical or mental health office is a plus
  • Bilingual (Spanish) preferred

Job Type: Part-time

Pay: $18.00 - $20.00 per hour

Expected hours: 28 – 32 per week, Day shift, Monday -Friday
